Integrity Privacy Policy

Integrity RTO Solutions Pty Ltd, ABN 67 669 731 659, is a Registered Training Organisation (RTO 46406) and also operates Integrity Academy, our non-accredited professional-development arm ("Integrity", "we", "us", "our"). We are one legal entity; this policy applies to everything we do across both arms.

We are committed to protecting your privacy in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). As an RTO we also comply with the Standards for RTOs 2025, the Student Identifiers Act 2014, the Data Provision Requirements 2012, the Privacy Amendment (Enhancing Privacy Protection) Act 2012, and the Spam Act 2003 for electronic marketing.

A note on the two arms: some practices apply only to accredited training delivered by Integrity RTO Solutions (e.g. Unique Student Identifiers, government VET reporting, long-term record retention). Others apply mainly to Integrity Academy (non-accredited learning) and our marketing (e.g. email newsletters, website analytics). Where it matters, we say which.

2. The personal information we collect

Depending on how you interact with us, we may collect:

  • Contact & identity details — name, date of birth, contact details, address, employer/role.
  • Account & learning data — login details, courses accessed, progress, completions, certificates, and (for accredited training) assessment results.
  • Payment information — billing details; card payments are processed by our payment provider (we don't store full card numbers).
  • Marketing & engagement data — sign-up source, email opens/clicks, and how you interact with our content (with consent where required).
  • Website & usage data — IP address, device/browser information, pages visited, and cookie/analytics data (see Section 10).

Accredited training (RTO) — additional information. To deliver nationally recognised training and meet our regulatory obligations, we collect the information required for the national VET system, which may include: full name, address, contact details, date of birth, gender, cultural background, country of birth, language spoken at home, disability information, schooling and prior qualifications, employment status, study reasons, and your Unique Student Identifier (USI). Our enrolment form explains why this is collected and how it's used, and you sign to confirm your agreement.

We collect information directly from you (forms, sign-ups, enrolments, emails) and automatically through our websites and analytics tools. We only collect personal information by fair and lawful means.

3. Sensitive information

Sensitive information (including health, disability, and racial or ethnic origin) has stronger protections. We do not collect sensitive information through our marketing or lead forms. We collect it only where reasonably necessary and with your express consent — for example, disability information you choose to provide for an accredited enrolment, or an adjustment/support need — and we store it securely with restricted access.

4. Why we collect and use your information

We use your information to: deliver the course, guide or service you've requested and provide learner support; create and manage your account and issue certificates; meet our regulatory and record-keeping obligations as an RTO; process payments; respond to enquiries; send you marketing where you've consented (Section 5); and maintain the security and integrity of our systems. We won't use your information for an unrelated purpose without your consent, unless authorised or required by law.

5. Direct marketing and your choices (APP 7 + Spam Act 2003)

We send marketing communications (our own tips, updates, newsletters and offers) only where you have consented, or where the law otherwise permits, and you can opt out at any time — every marketing message includes a working unsubscribe link, and you can also email our privacy contact. We action unsubscribe requests within 5 business days. We do not sell your personal information, and we do not share your contact details with third parties for their own marketing unless you have given us separate, express consent. We will not use or disclose your information for direct marketing in a way you would not reasonably expect.

6. Who we share your information with — including overseas (APP 8)

We share personal information only as needed to run our services, with:

  • Service providers who help us deliver learning, communications, payments and analytics (see the table below);
  • Government and regulatory bodies where required for accredited training — including the National Centre for Vocational Education Research (NCVER) and Commonwealth, State and Territory departments and authorised agencies, under the Data Provision Requirements 2012 (see Section 7);
  • Professional advisers, and others where you've consented or the law requires or permits it.

Some providers store or process information overseas — primarily in the United States. Before disclosing personal information overseas we take reasonable steps to ensure it's handled consistently with the APPs (and we remain accountable for it). Our key providers:

7. Accredited training — Unique Student Identifier & government reporting (RTO)

This section applies to nationally recognised training delivered by Integrity RTO Solutions:

  • Unique Student Identifier (USI): where we apply for a USI on your behalf, we obtain your authorisation first, and in line with section 11 of the Student Identifiers Act 2014 we securely destroy personal information collected solely for that purpose as soon as practicable after the application (unless we're required by law to keep it). We secure the USI and related documentation as required by the Act. In line with the Student Identifiers Act 2014, we cannot issue you a nationally recognised qualification or statement of attainment unless we have verified your USI (or an exemption applies).
  • Government VET reporting: under the Data Provision Requirements 2012 we are required to disclose certain personal information to NCVER and to Commonwealth, State and Territory government departments and authorised agencies, for statistical, regulatory, administrative and research purposes.
  • Student surveys and research (National VET Data Policy): You may receive a student survey, which may be conducted by a government department, or by an NCVER employee, agent, third-party contractor or another authorised agency. The survey may be conducted by telephone, post or email, and you can opt out of the survey at the time of being contacted. Personal information disclosed to NCVER may be used or disclosed for purposes including populating authenticated VET transcripts; administration of VET; facilitating statistics, surveys, research and data linkage relating to education; pre-populating RTO enrolment forms; understanding how the VET market operates for policy, workforce planning and consumer information; and resolving issues relating to your training. NCVER handles personal information in line with the Privacy Act 1988 (Cth) and the National VET Data Policy (dewr.gov.au/national-vet-data). 8. How we keep your information secure (APP 11)

We take reasonable steps to protect personal information from misuse, loss and unauthorised access — including secure systems, access controls and reputable providers — consistent with our obligations to secure personal and sensitive information under the Standards for RTOs 2025 (Outcome Standard 4.3). Access to learner information is controlled at all times. No online system is completely secure, but we work to keep your information safe and to respond quickly if an issue arises.

9. How long we keep your information

We keep personal information only as long as needed for the purposes above or to meet legal/regulatory obligations, then securely delete or de-identify it. For accredited training, we retain enough data to re-issue a qualification or statement of attainment for 30 years, and if we cease being an RTO we will provide this information to ASQA in digital form.

10. Cookies, tracking pixels and analytics

Our websites use cookies and similar technologies, including Google Analytics 4[, the Meta (Facebook) Pixel and the LinkedIn Insight Tag — CONFIRM/keep whichever you actually use], to understand how our sites are used and to improve and (where relevant) advertise our services. These may set cookies and collect online identifiers and usage data. You can manage or disable cookies in your browser, and opt out of personalised advertising through each platform's controls.

11. Accessing and correcting your information (APP 12 & 13)

You can ask to access or correct the personal information we hold about you by contacting our privacy contact (Section 1); for accredited results reported to the national VET collection, you can also access records through the USI system. We may ask you to verify your identity (name, date of birth, address) first. We take reasonable steps to correct information within 10 business days at no charge, and where we've disclosed it to another APP entity we'll notify them of a correction if you ask. If we refuse a correction, we'll tell you why and how to complain.

12. Data breaches (Notifiable Data Breaches scheme)

We have processes to detect, contain and assess data breaches. Where a breach is likely to result in serious harm, we will notify affected individuals and the Office of the Australian Information Commissioner (OAIC) as soon as practicable, in line with the Notifiable Data Breaches scheme under the Privacy Act 1988.

13. Complaints

If you have a privacy concern, please contact our privacy contact (Section 1) and we'll work to resolve it. If you're not satisfied, you can lodge a complaint with the OAIC — oaic.gov.au or 1300 363 992.

14. Changes to this policy

We may update this policy from time to time. The current version is always available on our websites, with the version and "last updated" date shown above.
